S. SEPTEMBER 19, 2000 ATTENDANCE Present: Patsy Tucker Emily Ward Jane Dunkelberg Kathy Luppy Peggy Weatherred Chairperson Commission Member Commission Member Commission Member Alternate Absent: Jeanne Lueck Delores Pultz Doris Batenhorst Vice-Chairperson Commission Member Commission Member STAFF Pam Burney Debbie York Carey Parrack Director of Environmental Services Environmental Resource Coordinator Secretary 1. CALL TO ORDER Patsy Tucker called the meeting to order at 7:30 p.m. 2. APPROVAL OF THE MINUTES Motion by Jane Dunkelberg to approve the minutes of the August 15, meeting, second by Peggy Weatherred. Motion passed. 3. CHRISTMAS FESTIVITIES AND LIGHTING CONTEST Beautification members reviewed the Christmas Decorating Lighting Award contest specifications established at the August 15, meeting. Commission members established that this year's contest would have no particular theme. Patsy Tucker will contact the judge(s) for each of the nine areas used in the Yard-of-the-Month program to see if they would like to participate in the judging for the Christmas Decorating Lighting Award contest. Judges will be asked to nominate three homes in their area for they feel deserve the award. Beautification Commission members will then choose one winner from each area. There will be nine winners in this year's contest. A sign will be placed in the yard of each winner. Commission members then discussed various ideas for this year's contest signs. Patsy Tucker suggested using some type of slipcover that would fit over the existing Yard-of- the-Month signs. It was also suggested that corrugated signs be used since they are lightweight and easier to handle, however, they are not quite as sturdy as the metal signs. Debbie York stated that she phoned the company she purchases the Yard-of- the-Month signs from to see if using corrugated signs would be more cost-effective than using metal signs and found the costs were almost the same. Commission members then discussed how to advertise the contest and agreed that advertising for the contest should be done soon and, recommended inserting a flyer in the water bills. Commission members and staff then discussed plans for the Christmas Tree Lighting ceremony. Pam Burney relayed to commission members that this year's Christmas Tree Lighting ceremony will be advertised as "A Night of Holiday Magic" and that several groups have already agreed to perform. Pam Burney also told Commission members that Christmas Committee members and Teen Advisory Board members would like to sell hot chocolate and hot cider at the ceremony and asked commission members if they would be responsible for handing out candles for the candlelight processional. Pam Burney then informed commission members that the owner of the Dr. Seuss copyright will only grant permission to use the Grinch character for one year and after the year is up permission must again be obtained before the character can be used. Since permission is only for one year there is a possibility that another theme, such as the Nutcracker, will have to be used, according to Ms. Burney. Debbie York reported that she called several different contractors for estimates on Christmas decorating but only one has called her back. Pam Burney said that if we can't hire a contractor to do the decorating or if hiring someone proves to be too expensive, then the Parks department, Beautification Commission, and Christmas Committee members would have to do the decorating. 4. REVIEW APPLICATIONS FOR ADOPT-A-SPOTS Debbie York reported that she received three new applications for the Adopt-A-Spot program. North Ridge Elementary teacher, Ms. Jessica Dunnam, and her fifth grade class have adopted the spot just to the west of Adventure World Park. Ms. Laura Rice and members of Sweet Adelines International "Lone Star Chorus" have adopted the Southeast and Southwest corners of Loop 820 and Holiday Lane. Ms. Susan Miller adopted an area on Grapevine Hwy. in front of Walker's Construction Company. Ms. York also said that only two Adopt-A-Spot signs would have to be purchased since commission member Kathy Luppy managed to get Signs Now to donate a sign. A motion was then made by Jane Dunkelberg to approve the new Adopt-A-Spot volunteers, second by Emily Ward. Motion passed. 5. DISCUSS POND CLASS DETAILS Debbie York reported that 42 people have signed up for the September 23, pond class. Peggy Weatherred told commission members that Howard Garrett agreed to make an announcement on his radio program about the class and that she placed the event on WBAP's community calendar 6. PLANS FOR VOLUNTEER BANQUET Debbie York informed commission members that both the Iron Horse and BISD's Fine Arts Center are booked on November 14, so the volunteer banquet would have to be held on a different date if they wanted to have it at either of these facilities. Commission members then decided to hold the event at Iron Horse, on November 9, at 7:00p.m. Commission members decided the guest list will include Adopt-A-Spot adult volunteers, and Yard of the Month judges. Beautification Commission members will recognize the two fifth grade classes at North Ridge Elementary who are currently participating in the Adopt-A-Spot program by sponsoring a pizza party at CiCi's Pizza. Commission members will pay for food, drinks, and transportation at a time and date that is convenient for the two teachers, Ms. Luppy and Ms. Dunnam. Jane Dunkelberg made a motion to rent a school bus to take two classes of Adopt-A- Spot volunteers to CiCi's Pizza, second by Emily Ward. Motion passed. It is noted that Ms. Luppy and Ms. Dunnam will decide the date. 7. BUDGET FY 2000/2001 Beautification Commission members and staff reviewed the adopted budget for Fiscal Year 2000/2001 . 8. STAFF REPORT Pam Burney reported that Council approved Entry Way signs and the Christmas banners will be ordered. Debbie York then handed out Household Hazardous Waste flyers for the September 30, collection event.
