BOARD PRESENT: Mary Shilcutt, Carol Benoit, Avis Crisp, Lynn Waller, William Merrill (Absent: Polly Brinkley, Janet Ball, Eva Pereira) Steve Brown, Library Director Brenda Lewis, Administrative Secretary Chairman Lynn Waller at 7:05 p.m. Minutes of January 20, 2000 were approved as written. STAFF PRESENT: CALLED TO ORDER: APPROVAL OF MINUTES: REPORT OF LIBRARY DIRECTOR STEVE BROWN The January statistics included a strong circulation (33,739) and a decrease in fines collected. Phone Tree, the library's automated calling system, now operates every day. This alerts patrons of overdue material, and patrons are returning items faster. Recently published Public Library 1998 statistics for NRHPL include a collection turnover rate of 3.77 uses per year, number of loans per capita of 7.60, and volumes per capita of 2.02. As planned, the library began offering a small supply of standard test guides for sale this month. It is hoped that this will not only prove convenient for patrons, but also help protect the library's circulation copies of the same books, which tend to disappear from theft. In addition to Bedford, the Hurst Library catalog is now accessible at NRHPL. We hope to add the BISD collection in several months. The library self-check system should be shipped at the end of February and arrive the first week in March. The budget process FY2000/2001 will begin in early March with requests due for staffing and computers. SPACE PLANNING CONSIDERATIONS FOR A NEW LIBRARY Mr. Brown reviewed with the Board a handout of projected space requirements included in last year's Providence report. Among the subjects discussed for inclusion in the new building were a library store, library cafe, multi-purpose meeting rooms, conference/board rooms, distance learning classroom, children's program rooms, local history room, and personnel space requirements. With the most positive circumstances, this tentative timeline was presented by Mr. Brown: building plan to architects - fall 2000; bids - fall 2001; construction - winter 2002; and completion by mid 2003. USED BOOK SALE AT NORTH HILLS MALL The annual North Hills Mall Book Sale is scheduled for Saturday and Sunday, February 26 and 27. Area libraries will again offer withdrawn and donated books for sale. Several board members added their names to a schedule of staff and volunteers to help with the sale. NRHPL will plan an on-site spring book sale in April or May. Work has begun on the landscaping of the library entrance. Mr. Brown worked with volunteer crews on several Saturday mornings to complete most of the preliminary work, but additional Saturdays will be needed to install the Texas native plants - just in time for the start of the growing season. Mr. Brown shared plans to transform the library's periodical reading and new book browsing area by installing self-service gourmet coffee vending equipment to accommodate patrons. This is a low maintenance, coin- operated unit that will offer a selection of eight coffees, sit on a hardwood floor base and include cafe-style tables with chairs.
